Job Introduction

Gleeson have an exciting new vacancy for an experienced PA to personally assist the Regional Managing Director, Senior Management and Marketing team in our North West division to ensure the smooth running of the offices on a day-to-day basis.

Role Responsibility

  • Provide administrative support to the Regional Managing Director
  • Organise and maintain Regional Managing Director’s diary
  • Typing, compiling, and preparing reports, presentations and all other correspondence
  • Responsible for scheduling/coordinating meetings
  • Monitor/manage emails on behalf of the Regional Managing Director
  • Maintain Outlook contact information for the Regional Managing Director
  • Booking and arranging travel and accommodation for the Regional Managing Director
  • Collate stats for weekly and monthly marketing reports, to be distributed to Divisional Marketing Business Partner
  • Ensure that all homes are correctly uploaded on to the Gleeson website and pushed through to property portals including any current offers and T&Cs
  • Produce marketing e shots in line with the weekly requirements of the Division
  • Update and monitor CRM system ensuring that all new leads are added to Mailchimp and that unsubscribed contacts are removed from Coins to reduce the risk of GDPR breaches
  • Update social media planner with weekly focus plots and developments
  • Website audits, one development per week ensuring all postcodes, telephone numbers etc. are correct and up to date
  • Supporting the marketing function where required on campaigns, i.e., ensuring purchasers receive the incentives they qualify for upon exchange/legal completion Organising events and conferences where necessary
  • Assist with general office management
  • Greeting, directing and dealing with visitors for the Senior team
  • Arranging refreshments and lunches for internal and external meetings
  • Ensure notice boards are up to date with relevant information
  • Assist with incoming calls, particularly when the receptionist is away from her desk

The Ideal Candidate

  • Discretion and trustworthiness; often party to confidential information
  • Previous experience working as a Personal Assistant (desirable)
  • Exposure to marketing (desirable)
  • Flexibility and adaptability
  • Good oral and written communication skills
  • Strong organisational skills and ability to multitask
  • Ability to be proactive and take the initiative
  • Team player
  • Excellent skills in all Microsoft packages. Excel, Word& Power point
